Fair Use Policy

Fair Use & Warranty Policy

Effective date: 26 October 2025

1. Introduction

This Fair Use & Warranty Policy (“Policy”) sets out the acceptable use of our products and the terms of the manufacturer’s warranty for office chairs purchased from officechairoutlet.co.za. By purchasing or using our products, you agree to comply with this Policy. This Policy should be read together with our Refunds & Returns Policy and Shipping & Delivery Policy.

2. Fair Use – What “Normal Use” Means

Our chairs are designed for normal seated use in an indoor office environment. “Fair use” includes:

  • use on level flooring, with appropriate casters for the surface;
  • use within the chair’s published weight and height ratings;
  • assembly, adjustment and maintenance according to the user manual; and
  • typical office use cycles (e.g., a standard working day) unless a model is expressly rated for 24/7 or heavy-duty use.

3. Manufacturer’s Warranty (1–5 Years)

We provide a manufacturer’s warranty of 1–5 years from the date of delivery, depending on the specific model. The applicable period for each model is stated on the product page or invoice. If not specified, a minimum of 1 year applies.

3.1 What the Warranty Covers

Under fair use, the warranty covers chair parts found to have defects in materials or workmanship, such as:

  • structural frame and base;
  • gas lift (pneumatic cylinder) and tilt/rocking mechanisms;
  • arms/arm mechanisms, castors and hub components;
  • standard fasteners and adjustment controls.

At our discretion, the remedy will be repair, replacement of parts, supply of an equivalent part, or a refund where repair or replacement is not reasonably possible.

3.2 What the Warranty Does Not Cover

  • Upholstery & surface materials: damage, cuts, tears, abrasion, stains, burns, pet damage, pilling, fading/discolouration, or deterioration from cleaning agents, sunlight/UV, heat or moisture.
  • Damage due to force or negligence: impact, misuse, abuse, neglect, improper assembly, over-tightening, standing on chairs, using as a ladder, or exceeding weight/height ratings.
  • Wear & tear: normal foam softening, squeaks, and cosmetic changes that do not affect function.
  • Unauthorised modifications/repairs: damage caused by alterations or non-approved parts or service.
  • Environmental factors: corrosion/rust from coastal or high-humidity exposure, or damage during transport or storage not arranged by us.
  • Commercial misuse: intensive/24-hour use unless the model is expressly rated for such use.

Important: The warranty only covers office chair parts under normal use. It does not cover damage to the material (upholstery) or any other component caused by the customer's force or negligence.

4. Prohibited Activities (Website & Services)

  • Unlawful, fraudulent or harmful use of our website, services or content.
  • Copying or reproducing content without written permission.
  • Automated scraping or data extraction without consent.
  • Abusive behaviour toward staff or other customers.
  • Misuse of returns, refunds or warranty processes (including false claims).

5. How to Make a Warranty Claim

  1. Log your claim: E-mail support@officechairoutlet.co.za with your order number, model, a description of the issue, and clear photos/videos.
  2. Assessment: We may request further information, troubleshooting steps, or an inspection.
  3. Remedy: If approved, we will provide the remedy in Section 3.1. Where a return is required, we will provide instructions. Unauthorised returns cannot be accepted.

6. Returns, Shipping & Costs

Change-of-mind returns are governed by our Refunds & Returns Policy. For warranty returns, we may request that the item or the faulty part be returned for inspection; if the claim is not approved, return shipping may be for your account.

7. Service Limitations & Enforcement

  • We may limit or refuse service where this Policy is breached.
  • We may modify, suspend or discontinue services or product lines without prior notice.
  • Breaches may result in cancellation of orders/accounts and, where appropriate, legal action.
